Job Description

DBC Offices in Richton Park, IL and Olympia Fields, IL is looking for admin assistants to join our strong team. Both offices are located in the south suburbs of Chicago, IL. Our ideal candidate is a patient and attentive business professional who is willing to serve our members and guests. They possess outstanding computer skills and telephone etiquette. A goal-oriented, team player who is a meticulous individual with demonstrated success in administrative process improvements to better serve the needs of our business members and guest. Responsibilities:

  • Maintain professional tone at all times, including during peak rush hours answering a multi-line VOIP phone system. Direct calls and messages for staff in all departments.

• Greet members and guests, answer general questions and direct to appropriate locations.

• Direct members and guest to appropriate personnel to address concerns, resolve complaints or answer account-related questions.

• Plan and coordinate scheduled appointments, calendars, and monthly office events.

  • Create spreadsheets, presentations, and marketing materials in the form of email, text message, social media and postal mail campaigns.

•Deliver administrative support to team, members and guests by making copies, sending faxes, organizing documents and rearranging schedules.

• Prepare correspondence, reports and other documents in final formats with correct punctuation, capitalization, grammar and spelling. Conduct internet research as needed.

• Receive incoming packages and mail, dispersed parcels and ship outgoing items for DBC Offices team and members.

  • Maintain an organized filing system.
  • Place orders for office equipment and supplies.

Qualifications

  • Patient and kind.
  • Exceptional attention to detail.
  • Ability to organize and create orderly systems.
  • Experienced in computer technology that includes excel, google docs, powerpoint, and social media marketing.
  • Flexible and the ability to learn new softwares quickly.
  • Bilingual-English/Spanish speaking is an asset.
