Required Qualifications:

  • High School Diploma/GED and five years related office experience to include project management. Training/education may be substituted for some of the years of experience.
    Computer experience required.
  • Excellent communication and interpersonal skills, both on the phone and in-person, to effectively and appropriately interact with a broad range of leadership, faculty, staff, students, and the public at various levels.
  • Broad based advanced experience with office support and electronic word processing, spreadsheet (Excel) creation and manipulation, calendar and email programs, and general accounting principles.
  • Strong analytical and organizational skills with the ability to manage stakeholder priorities in a deadline-oriented environment.
  • High attention to detail; follow detailed processes and ensure accuracy in documentation and data; ability to make a conscious effort to understand causes in addition to effects.
  • Willingness to take initiative; self-starter who is organized and able to work without close supervision.
  • Ability to lift and carry up to 25 pounds, travel between offices/buildings to carry meeting materials, mail and packages and set up for meetings. Must be able to work occasional overtime and have flexibility of schedule to cover deadlines and early/late meetings.

Preferred Qualifications

  • At least one year of administrative support experience in a college/university or medical corporate setting.
  • Experience with coordination of the credentialing process in a healthcare environment.
  • Experience maintaining A/V conferencing equipment, set up, and troubleshooting.
  • Proficiency and knowledge of Google G-Suite applications.
  • Experience handling moves, arranging for long-term storage/retrieval of files, ordering equipment/computers and maintaining equipment records, working with computer services units and vendors on orders, troubleshooting problems with equipment or equipment orders/needs.
  • Knowledge of University of Minnesota business procedures and policies. College/University degree
  • Experience in education or health care
  • Experience with digital technology and digital communication tools
  • Customer service experience

This position is based out of Minneapolis, MN and is eligible for hybrid work from home and/or on campus work dependent upon individual performance and organizational need, though some regular on-site work will be expected. Because the University of Minnesota is a land-grant institution that serves the state, residing in Minnesota is typically required.

Programmatic Course Support 30%:

  • Coordinate and implement 31 in person and virtual programmatic courses and faculty development workshops.
  • Assist with space reservations, catering, equipment set up, tear down and technology and other on site logistics and activities during courses/workshops.
  • Assist with on-course site and logistics. Oversee course check-in process and on-site activities.
  • Participate in planning meetings with course directors, facility meetings and course contacts as needed.
  • Prepare materials for courses
  • Maintain course records
  • Assist with course budgets, tracking course expenditures and expense reports as needed
  • Maintain/update on-line course resources and websites (e.g., Canvas).

Medical Student Education 60%:

MSE Course Support:

  • Partner with MSE staff to develop processes and execute administration of all medical student placements in clinics for 18 elective courses. Partner with MSE staff to develop and improve placement processes.
  • Coordinate the family medicine clerkship course. Including student placements in clinics. Partner with MSE staff to develop and improve placement processes.
  • Coordinate and implement in person didactics for the Family Medicine Clerkship. Assist with space, catering, and technology on site during courses
  • Assist in conducting systematic on-going evaluation of various aspects of medical student, teacher and rotation performance including analyzing evaluations, providing reports and interpreting data to effectively determine performance feedback; notify preceptors and students of their assignments; maintain electronic files of all assignments.

Visiting Student Course Support:

  • Review visiting student applications and determine eligibility for clinical experiences.
  • Make initial visiting student offers in collaboration with medical school Visiting Student Learning Opportunities (VSLO) coordinator
  • Create visiting student sponsored accounts as needed

Family Medicine Interest Group (FMIG) Staff Advisor:

  • Attend monthly meetings with FMIG faculty advisor and student leaders to discuss programming.
  • Assist with grant applications to external sources, eg MAFP, AAFP, SUA, GAPSA, COGS.
  • Assist with the annual draft of FMIG Constitution and submit to Student Union and Activities (SUA).
  • Maintain all rules and regulations regarding Campus Life Programs (CLP).
  • Serve as initial administrative contact of all Family Medicine MSE related activities for the medical school and with external stakeholders.
  • Attend monthly CEC (Clinical Education Committee) as needed.

General Education Support 10%:

  • Assist with coordinating and completing additional education projects as needed
  • Help develop, coordinate or assist with education events and activities
  • Attend and participate in regular education meetings within the department and the University
  • Contribute as an education team member and assist with special projects/efforts as needed.
    Assist with other courses, activities and events as needed
