Job Description

A prestigious and well-known Global Investment Firm is seeking a new Full-Time / Permanent Executive Assistant to support its Communications Department, which includes 3-4 Directors and Managing Directors. The current person in this role is being promoted. Candidates must have a minimum of 5+ years of applicable high-level executive administrative support experience, ideally working within financial services or media/communications, and a Bachelor’s degree is required. Ideal candidates should be extremely organized, tech savvy, driven, polished, professional, bright, even keeled, and possess good judgement and excellent interpersonal and communication skills (both verbal and written). They should also be able to read the room and know when and how to respond to executives. Need to rise to a certain level of intensity, must be accustomed to working in a fast-paced, busy, and dynamic environment, and be able to deal with internal and external stakeholders.   • Salary depends on experience (110-140k base),
  • Paid overtime (employees can work through 30-minute lunch and receive 2 ½ hours per week in built in paid overtime),

  • Hours are 9:00am-6:00pm, with flexibility for overtime and accessibility as needed. Hybrid work schedule (4 days in office / 1 day remote).
Responsibilities:  
  • Provide high-level executive administrative support to 3-4 Managing Directors and Directors in the Communications Department.
  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; manage and maintain busy and ever-changing calendars.
  • Liaise with internal and external stakeholders.
  • Coordinate complex domestic and international travel arrangements and detailed itineraries.
  • Prepare, process, and submit expense reports in a timely manner.
  • Monitor a high volume of calls, e-mails, and flow of communication.
  • Compose, draft, proof, edit, and finalize correspondence, including emails and other documents.
  • Assist with ad hoc projects as needed.
Required Qualifications:
  • Minimum 5+ years of applicable high-level executive administrative support experience, ideally within financial services or media/communications.
  • A Bachelor’s degree is required.
  • Extremely organized and detail oriented.
  • Polished and professional.
  • Tech savvy; strong MS Office Suite skills.
  • Demonstrates good judgement; skilled at developing and maintaining relationships and representing company in a professional manner.
  • Sense of urgency; accustomed to working in a fast-paced, busy, and dynamic environment with the ability to manage a high volume of work and prioritize tasks and projects according to what is most time- sensitive. 
  • Positive, flexible attitude when responding to changes.
  • Excellent interpersonal and communication skills (both verbal and written). Communicates openly and effectively with team; facilitates multi-directional information flow.
  • Team player who can work collaboratively or make decisions quickly and independently as needed.
